Required Notifications & Reporting SOP
Procedure#:HP SOP 52
Function:Management Policies
Implementation Date:012524
Policy: In order to maintain efficiency and transparency, both FOH and BOH managers are required to notify the Operations Manager, COO & Ownership when out-of-the-ordinary events occur. This helps us to “trace and correct” the issue for the future. Additionally, all managers should adhere to the timesheet approval process overview to ensure accurate payroll and accountability. Regular updates and communication regarding any unusual incidents or discrepancies will facilitate a smoother operational environment. By working collaboratively, we can strengthen our protocols and enhance overall performance.
Procedure:
- The manager must post under “Required Notifications” in Basecamp. Urgent items will ALSO require the manager to call or text the Operations Manager, COO and/or Ownership. These items are listed below:
- Non-Urgent Notifications Include:
- Recovery Trucks/Trips: When the manager needs to contact US Foods or other vendors to receive a non-scheduled delivery of items OR when a manager needs to run to the store for any reason.
- Unscheduled trips:
- When the manager needs to make an unscheduled trip from one brewery to another for food or other non-brewery supplies.
- When the manager or brewer team needs to make an unscheduled trip from one brewery to another because beer pars are running low or out. (Scheduled runs are typically on Wednesdays.)
- 86’ items or inventory: Food or beverage items that run out unexpectedly (no notification needed if the fix can be handled on-site without much disruption).
- Minor injuries – staff or guests: when the injury does not require medical assistance and the staff or guest does not need to leave the premises to take care of the issue.
- Anytime we cannot follow a required SOP (Standard Operating Procedure), checklist, or training document/procedure.
- Team Member resignation notices, or team member quitting with no notice. Terminations are not a required notification and need approval of the COO/Ownership.
- Urgent Items that require a call or text:
- Payment issues – anything that stops our regular payment capabilities
- Management call-offs or unscheduled absences
- Major Injuries – staff or guests (Emergency medical assistance needed)
- Occurance of any behavior (guest or staff) that involves theft, violence, intoxication, illegal drugs, threatening language, illegal weapons, property destruction etc.
